Email Archiving - Manual (Outlook) Print

If your email inbox is getting too large and beginning to slow your Outlook down, you are reaching mailbox or hosting quotas, or you are just wanting to do a spring clean...setting up the automated email archive feature in Microsoft Outlook is a great option.

To set up archiving, please follow the below steps, which have been provided by Microsoft.

Turn Archiving On

  1. Depending on which version you are using, do one of the following:

              • In Outlook 2013: Click File > Info > Cleanup Tools > Archive.



• In Outlook 2016: Click File > Info > Tools > Clean up old items

  1. Click the Archive this folder and all subfolders option, and then select the folder you wish to archive.
  2. Under Archive items older than, enter a date.
  3. You can create multiple .pst / Archive files if you would like to archive mail folders to different settings. eg, you may wish to keep the items longer in a folder called "Invoices" than say for example you would in your "Inbox" folder.
  4. Tick the Include items with "Do not AutoArchive" box to archive individual items that are excluded from automatic archiving. This option doesn't remove that exclusion from these items, but instead ignores the Do not AutoArchive setting for this archive only.
  5. Click OK.

    Turn Archiving Off


    To turn Auto Archive off or to manually archive

    • Click File > Options > Advanced.
    • Under AutoArchive, click AutoArchive Settings.
    • Uncheck the Run AutoArchive every X days box.
